Inntec® 2000 Voice Mail for Schools

Student Absence Reporter

Inntec 2000 Student Absence Reporter is an automated voice processing application designed for schools and school boards. It enhances communication between the school and the community while reducing operating costs. Inntec 2000 can import an absence list from your student management system and automatically call homes to deliver absence notification messages with information specific to each absence incidence without duplication of attendance work.
Inntec 2000 can import the grade of the absent student, date of absence, and the periods missed from the student management system and include the information in the notification message, greatly reducing the chance of any confusion for the parents. Our highly accurate answering machine detection enables Inntec 2000 to leave complete messages on answering machines.
Daily calling times are fully programmable by the school and can be staggered in order to avoid repetitive calling patterns. Detailed call reports are available to report on call delivery success of each call list. Individual student call history audit trail is available at any time to present to concerned parents. 
Included with the Student Absence Reporter is a General Notification Module that can be used to call households regarding upcoming parent nights, report card availability, fund-raisers, etc. Using the auto dialer to call the parents helps reduce costs and saves time by eliminating the need for preparing and mailing out printed notices.


Homework InfoLine

The Homework InfoLine allows teachers to record voice messages describing the homework assignments for individual classes. It allows parents to obtain homework assignment information after regular school hours. It empowers parents to take an active role in encouraging their children to do their homework assignments and spot opportunities for assistance.
This module is not a regular voice mail or bulletin board module used for dispensing homework information. Parents do not need to remember specific mailbox numbers corresponding the respective classes to retrieve homework information. The system can guide them to the homework by grade, subject and teacher.
Schools have also found that many students frequently use the Homework InfoLine as well. Students call to confirm the specifics of their homework assignments to ensure they are finished correctly and on time.



Voice Bulletin Board

The Voice Bulletin Board allows parents and students ready access to a wide range of school information like school closings, sports and club activities, policies and procedures, holiday schedules, PTA information, etc.
You can set up and change the Voice Bulletin Board as your school requires. Voice bulletin board messages can be maintained by different parties, as defined by your school. There is no limit to the number of information messages your school can put on the Voice Bulletin Board other than that imposed by the storage capacity of the hard disk, which can be upgraded easily and inexpensively as your requirements grow.
The Voice Bulletin Board is environmentally friendly as it reduces the need for printing information circulars.


Voice Mail

The Voice Mail Module provides around-the-clock telephone reception and voice messaging services. It can be used to answer all incoming phone calls or handle switchboard overload and provide after-hour telephone reception. It can answer and transfer a multitude of calls simultaneously to the appropriate extension phones quickly and efficiently.
If the called extension is busy, or the transferred call is not answered, Inntec 2000 can automatically direct the caller to the called persons voice mailbox. The caller will hear the personal greeting message recorded by the mailbox owner. The caller has the option of leaving a message or dialing another extension number.
If the caller elects to leave a voice message, the message can be as detailed as the caller wishes. The recipient can hear the message first-hand, rather than having to rely on the receptionists interpretation. Inntec 2000 also provides complete privacy as access to the personal mailboxes for message retrieval is password protected.

Appropriate Greetings For Different Times and Days
Inntec 2000 answers incoming calls with the appropriate greetings depending on the time of day and whether it is a regular school day or holiday. Greetings for holidays or special occasions can be easily pre-recorded by your own school staff.

Hot Key Access To Live Operators
"0" is designated as the hot key for immediate transfer to live operators. Additional hot keys are provided to voice mail users for easy navigation through the system.

Directory Assistance
Callers can search the school directory by department, first or last name. A caller simply enters the first few letters of the name through the touch-tone key pad and the Directory Assistance module will list the names matching their input. If more than one match is found, the names are played in succession for the caller to identify the correct person.

Message Notification Service
The Message Notification Service  can turn on the message-waiting light of your phone set and calls out to internal or external phone numbers to relay your messages to you. It can also notify you of new messages through pagers. Access to mailboxes for message retrieval is password-protected to ensure privacy.

Playback Control Keys
Fast forward, rewind, as well as volume increase keys are available to users to listen to their messages and jot down notes efficiently.

Immediate Reply To Messages
After listening to a voice mail message left by a staff member, a user has the option to respond immediately by leaving a reply message in the senders mailbox. This feature encourages fast response to messages.

Message Forwarding
Received messages can be easily forwarded to other mailboxes. Prefix and/or suffix messages can be attached to put the forwarded messages in proper context.



Message Courier

The Group Call Distribution Mailboxallows teachers and administration staff to broadcast voice messages to all members included in distribution lists. For example, you can include all mathematics teachers in one list, all English teachers in another, etc. 
When you want to send a message to all mathematics teachers, all you need to do is record the message once and let Group Call Distribution distribute it to all math teachers on the list for you. In addition to setting up distribution lists by subject, you can also set up lists by grade, or by grade and subject, etc. Individual teachers and staff can be on as many lists as required.
The Group Call Distribution Mailbox can greatly enhance the efficiency of communication within your school. A tremendous amount of time can be saved through broadcasting voice messages instead of preparing and circulating written memos. It also helps the environment by reducing paper use.


Parent Teacher Communication

At times, some students require more attention than others. In many cases, parents and teachers working closely together can help these students more effectively. However, in these days when both parents in many households work outside of their homes, it might be difficult to maintain frequent parent-teacher communications
The Voice Mail module of Inntec 2000 allows parents to leave voice messages to teachers. However, teachers may find some parents difficult to reach during regular school hours. This is where Parent-Teacher Communication can help. This module allows teachers to give parents voice mailboxes for holding messages from teachers. Parents can pick up these messages at their own convenience. The Parent-Teacher Communication module facilitates frequent and efficient parent-teacher communications.
